Photography Studio Rental Checklist: Everything to Verify Before Booking

This is the checklist I wish I'd had before my first studio rental. It covers everything that matters — from the obvious (does the studio have lights?) to the easily forgotten (can your client find parking?).

Use this before every booking at a new studio. Most of these items take one email or a 5-minute walkthrough to verify.

Space & Layout

• [ ] Total square footage — Is it enough for your shoot type and team size?
• [ ] Shooting depth — Camera-to-backdrop distance. Minimum 15 ft for portraits, 25+ for full-length fashion.

• [ ] Light stands and booms — Included or bring your own?
• [ ] Power capacity — Number of circuits, amperage, outlet locations.
• [ ] Can you bring your own lighting? — Most allow it, but confirm.
• [ ] Backup equipment — What happens if studio equipment fails?
• [ ] Color temperature consistency — Do all lights match? Mix of daylight and tungsten creates color problems.

• [ ] Storage — Can equipment be stored overnight for multi-day shoots?
• [ ] Neighborhood safety — Safe for clients arriving alone, especially evenings?
• [ ] Public transportation — Nearby stops/stations? (Matters in major metros)

Amenities

• [ ] Restroom — Clean, accessible, adequate for team/client size?
• [ ] Kitchen/kitchenette — Refrigerator, microwave, coffee for long shoots?

• [ ] Overtime policy — Rate per additional hour? Grace period?
• [ ] Damage/security deposit — Amount, refund timeline, what triggers charges.

Day-Of Preparation

Once booked, prepare for your session:

• [ ] Confirm booking — 24 hours before. Verify time, access instructions, contact number.
• [ ] Pack equipment — Based on the specific studio and your planned setup. Don't over-pack.
• [ ] Charge batteries — All camera and lighting batteries at 100%.
• [ ] Format cards — Clear memory cards before the session.
• [ ] Client communication — Send address, parking instructions, and arrival time to clients.
• [ ] Shot list — Planned shots in priority order. Tackle most important shots first.
• [ ] Wardrobe/props — Packed and organized for quick access.
• [ ] Refreshments — Water for clients at minimum. Coffee/snacks for long shoots.
• [ ] Music — Playlist ready on your phone/speaker.
• [ ] Emergency backup plan — What if equipment fails? Backup location if needed?

Frequently Asked Questions

Do I need to verify all 50+ items?

No — focus on the items relevant to your shoot type. Headshot photographers can skip audio items. Video creators can skip backdrop details. But scan the full list once to catch anything you might have overlooked.

Should I send this checklist to the studio?

A trimmed version with your specific questions, yes. Studios appreciate organized, informed renters. "Hey, I'm shooting [type] on [date] — can you confirm these details?" is much better than showing up and discovering problems.

What's the single most important item?

Visit the studio before booking for any important shoot. Photos lie. Virtual tours show the best angles. Only an in-person visit reveals the real space.

How do I track which studios I've used?

Keep a simple spreadsheet: studio name, address, pros, cons, pricing, your rating. After 10-20 studio visits, this reference becomes invaluable for quick booking decisions.
